The school is seeking to appoint a PA to provide high-quality, efficient, and confidential support to the Principal.

About the role

The PA will provide high-quality, efficient, and confidential support to the Principal, together with administrative support to members of the Senior Leadership Team, ensuring the smooth operation of key school functions and activities.

*The contract is Monday to Friday 8.30am to 5pm (with one hour for lunch). Term-time only, plus Founders Day and the 2 days afterwards, inset days and the week leading up to September inset. Salary is £29,511 per annum (full-time equivalent £37,412).

Main Duties

Key Responsibilities

  • Manage and maintain the diaries of the Principal and Deputy Principal;
  • Oversee the Principal’s incoming and outgoing emails (Principal@) and correspondence, maintaining secure and confidential filing systems;
  • Build positive relationships and act as an ambassador for the School when liaising with parents, Governors, pupils, staff, and visitors;
  • Serve as the initial point of contact for parents on behalf of the Principal and Deputy Principal, responding promptly and professionally to enquiries and managing the early stages of parental concerns or complaints;
  • Follow up with parents on any correspondence which needs replies or feedback from other staff, by phone/email/letter. Liaising with parents on any pupil absences in conjunction with the Pastoral Department;
  • Coordinate the preparation of references for pupils and staff;
  • Gather and assemble any relevant information in preparation for Principal’s meetings with staff, parents, etc;
  • Prepare information for beginning of term staff meetings and Founders Day;
  • Coordinate the publication of the weekly SLT newsletter;
  • Prepare end-of-term order of service for all staff assembly and ensure relevant contributors are prepared;
  • Prepare letters for special School events for Patrons and Governors of the School in conjunction with the Events Manager;
  • Make arrangements for Founders’ Day, in consultation with the Director of Studies, organising companies to come in to provide refreshments and making other ad hoc arrangements as required;
  • Organise events and hospitality activities under the responsibility of the Principal, including Principal’s Suppers and Patron and Governor events, working alongside the Events Manager;
  • Oversee the Cups presentation on Founders’ Day, arranging their engraving and ensuring all are returned to school;
  • Daily administrative tasks and support as agreed with the Director of Studies;
  • Provide confidential administrative support to the Deputy Principal in their role as Designated Safeguarding Lead;
  • Assist the Deputy Principal with administrative tasks relating to the review and updating of School policies and associated documentation;
  • Support the advance preparation and maintenance of the School’s annual calendar;
  • Coordinate administrative arrangements for academic assessments undertaken by audition candidates;
  • Support the HR function with candidate tours, assessments, and interview logistics as part of the School’s recruitment processes;
  • Provide administrative support relating to the School’s pupil behaviour management processes;
  • Be the key contact for associations/bodies such as (but not limited to) HMC, BSA, CDMT etc;
  • Acknowledge leavers’ notices from parents informing the school of a pupil leaving, ensuring all necessary departments have been made aware;
  • Sense-check bulk letters to parents according to the style guide; looking at spelling, punctuation and grammatical errors. Also, quality checking content in terms of level of formality;
  • Oversee and coordinate the Principal’s direct reports’ appraisal cycle;
  • Maintain staff recognition lists and arrange cards and gifts for birthdays, weddings, births, and other significant occasions on behalf of the Principal where appropriate;
  • Coordinate the preparation and signing of Christmas cards on behalf of the Principal;
  • Cover the Reception desk when requested in coordination with the School Office;
  • Provide additional support to the SLT as and when required and any additional administrative duties.

Person Specification

Essential

  • Good general standard of education including GCSE English and Maths
  • Experience of providing high-level administrative support
  • Experience of dealing with confidential and sensitive information
  • Experience of working in a customer-facing role
  • Experience of organising events
  • Highly developed interpersonal skills with the ability to communicate at all levels
  • Excellent written communication skills
  • High level of attention to detail
  • Strong IT skills including Microsoft Office suite
  • Approachable and professional, smart and well presented
  • Demonstrates integrity, discretion and sound judgement
  • Reliable and dependable
  • Flexible and adaptable in response to changing priorities
  • Able to work independently or as part of a team using initiative where appropriate

Desirable

  • Experience working within a school or educational environment
  • Experience working in a specialist performing arts environment
  • Experience of using school software such as ISAMs
  • Understanding of safeguarding and child protection in schools
